For me, I pretty much know what's in my collection. I'm sure it's not as large as some of the collectors here, but I got to a certain point where I had to draw the line at how many different 7"s of "Rio" I needed to have. That being said, I'll buy / bid on an item if I'm really interested. So, no physical list exists for me as to what I have and need.

Nice question! I work the other way around... I have an Excel file in which the discography is spreaded, incl. details and pictures. All items i have are indicated with a green colour, all that is on the way is orange. Got sheets for DD, Arcadia and bootlegs. And if i see items online which are not in the list, i simply add them. I like the tips! I will have to remember to add things like "cardboard sleeve" and such. I also planned to mark condition. I was debating on a field for damages, like ringwear, but I may not get that specific. I like the idea of attaching photos. I already planned to TAKE them and have a file somewhere for that. I have never really used spreadsheets. Only a couple of times and it was someone else's file I plugged things into. I will have to play with it.
